Director of Administration and Culture

Position Summary:

The HR & Administrative Support Specialist provides essential administrative and recruiting assistance to the HR department. This role supports the Director of Administration and Culture and the HR Administrator by handling routine tasks, assisting with onboarding, and conducting initial candidate screening calls. This position is ideal for someone with high levels of productivity who is detail-oriented, organized, and comfortable in a support role without supervisory responsibilities.

Key Responsibilities:

Recruiting Support

  • Conduct candidate inquiry and screening calls using provided scripts and guidelines

  • Compile stats

  • Schedule interviews and coordinate logistics between candidates and hiring managers and HR.

  • Screen applications, employment inquiries, and resumes

  • Answer inbound employment inquiries

  • Assist with job postings and candidate communication.

  • Maintain applicant tracking spreadsheets or systems

 

HR Support

  • Prepare and maintain documents, information packets, reports, and correspondence.

  • Assist with filing, scanning, and organizing records.

  • Coordinate logistics and assist with employee events

  • Maintain employee records and update HR databases.

  • Assist with compliance documentation and reporting.

  • Support benefits administration and employee inquiries as directed.

  • Help with onboarding tasks (e.g., preparing new hire packets, scheduling orientations).

  • Provide backup support for other administrative functions as needed.

  • Assisting with payroll preparations and eventually prepare payroll for review in a rotation

  • Other duties as assigned

Essential Job Functions

  • Ability to touch type 70+WPM to document a conversation in real-time while conducting a screening call at normal speed with typing accuracy under pressure

  • High comfort level with making outbound calls and following structured scripts

  • Strong organizational and multitasking skills

Competencies and Preferred Qualifications:

  • Prior administrative experience required

  • HR experience preferred

  • Comfortable in a support role without supervisory duties

  • Associates Degree preferred

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) required

  • Experience with HR software preferred​

Physical Requirements:

  • Ability to lift and carry 25 lbs.

  • Ability to handle prolonged periods of sitting at a desk and working on a computer​
